How to upload payments manually

This action can be performed by the following roles:

  • Call Center Manager
  • Call Center Supervisor
  • Support 


If a customer has made a payment and it is appearing in the mobile provider’s portal but not in ERP.

Create a .csv file and add the payment into the system.

Open the Mobile Money module and click on:

• Provider files

And on the drop-down Menu click on add transactions


  • Click on Create button
  • On "Provider" you select "the Provider ex: Orange mobile money"
  • On "transaction import file" you click on "select" you choose the file where you saved it in your documents.
  • Save - at this point, the system will tell you if the file passed the validation test



5. on the top of the page you click on "process data"

6. Click Ok to confirm

7.Check-in Mobile Money > Payment Transactions to see if the payment had populated

If you received an Integrity Error or a state that is ignored, the payment was most likely added to the system. In this case, check the Payment Transactions.


NB: The excel file that has to be uploaded has to be organized as follows:

  • Date with this format (yyyy-mm-dd) ex: 2017-10-04
  • Transaction ID
  • The telephone number 
  • The actual amount paid in the currency normally used

It has to be a CSV file, The actual amount must not contain "spaces or commas"


CSV File Format

  1. Open Excel
  2. Add the fields Date, Transaction ID, Phone, and Amount in this order
  3. The Date field must be YYYY-MM-DD and the Phone number must include the country prefix i.e. 250 for Rwanda
  4. File > Save As > format  CSV UTF8 (Comman delimited) (*.csv)
